On Happyn you don't draft a separate contract for every booking. Your listing details and your store policiestogether form your booking agreement — buyers see them before they pay, and Happyn enforces them when something changes. That's good news: it means a few minutes of setup protects every booking you ever take.
Most disputes trace back to something that was never written down. Here are the six things your terms must cover, and exactly where to set each one.
It sounds obvious, but mismatched basics — the wrong date, a venue that changed, a start time nobody confirmed — cause more problems than anything else. Happyn captures the event date and location at checkout, so every service inquiry arrives with the essentials attached. Before you accept, read them:
A deposit secures the buyer's commitment and covers what you spend before the event — materials, staffing, holding the date. You set it per listing when you build your pricing:
Deposit amount
Turn on Require depositin the listing editor and choose a percentage from 10% to 60%. Deposits above 50% require a short reason that buyers will see (e.g. "materials are purchased upfront") — asking for most of the money up front without explanation makes buyers hesitate.
Deposit refundability
In Dashboard → Profile → Policies, choose whether deposits are refunded when a host cancels, and optionally set a lead time — for example, refundable only if they cancel at least 14 days before the event. Individual listings can override this.
Pick numbers you can defend. A 30% deposit that's refundable with two weeks' notice reads as fair; a 60% non-refundable deposit with no explanation reads as a red flag.
The vaguer your listing, the more room there is for the buyer to imagine something you never planned to deliver. Spell out exactly what the price buys:
Because Happyn pricing is fixed at booking, everything the buyer purchased is already agreed when the inquiry reaches you — clear descriptions are what make that a feature, not a fight.
Cancellations happen. What matters is that both sides know the rules in advance. You have two places to set them:
Store-wide policy
In Dashboard → Profile → Policies, set your cancellation window (how many hours before the event a buyer can cancel without penalty — default 48) and describe your cancellation terms.
Per-listing policy
The Cancellation Policyfield in the listing editor's Logistics tab lets a specific listing carry its own terms — useful when one service has costs the rest of your shop doesn't.
When a buyer cancels outside your window, your deposit terms apply and a flat cancellation fee is withheld from the buyer's service fee. For the full picture of how cancellations and refunds affect your payout, see Managing Refunds & Exchanges.
